How do you create an email address on your own domain?

Choose an email provider that supports custom domains. This may be included with hosting or supplied by a dedicated business email service. Add the domain to the provider, create the mailbox or alias, set a strong password, and enable two-factor authentication for the user account where available.

Publish the MX records supplied by the provider in the domain’s active DNS zone. Add its SPF and DKIM records, then configure a DMARC policy when authentication is working. Remove obsolete MX routes so senders do not deliver mail to an old server. Website A records and mail MX records can point to different companies.

Configure the mailbox in a web interface or mail client using the provider’s IMAP and SMTP settings. Use encrypted connections and the full email address as the username when instructed. Test incoming and outgoing mail with accounts at several external providers and check that replies return correctly.

Decide how aliases, shared addresses, forwarding, retention, backups, and employee departures will be handled. A forwarding-only address may have delivery and authentication limitations. Keep the domain registration and DNS under organizational control because losing either can interrupt every mailbox on the domain.
